Job Description:

We are seeking a highly motivated and results-oriented individual to fill the position of Assistant Administrative Officer. The successful candidate will provide administrative support to the liaison office team and perform various administrative duties.

Key Responsibilities:

  • Provide administrative support to the liaison office team
  • Perform reception duties and handle customer queries
  • Coordinate procurement, storage, and issuance of materials and supplies
  •  Maintain electronic and manual records, including cash balances and financial records
  •  Monitor and evaluate expenditure budgets and prepare budget actual variance reports
  •  Prepare responses to accounting and audit queries
  • Maintain office imprest accounts and ensure timely replenishment
  • Receive port charges and reconcile revenue collections
  •  Ensure payment of rent, PAYE, NSSF, and other statutory deductions
  •  Prepare bank reconciliation statements and schedule meeting proceedings
  • Supervise cleaning and computer equipment maintenance contracts
  •  Initiate general office correspondences and compile evidence for performance reviews

Requirements:

  •  Diploma in Business Management or equivalent
  • Proficiency in computer applications
  • Minimum 5 years of relevant experience
  •  Membership in a relevant professional body
  •  Demonstrated competence in work performance
  • Customer focus, planning skills, communication and presentation skills, report-writing skills, interpersonal skills, self-drive, and ability to work with minimum supervision

Additional Requirements for Successful Candidates in Uganda:

  •  Certificate of Good Conduct from the Directorate of Criminal Investigations
  • Clearance certificate from the Uganda National Examination Board
  • Tax Compliance Certificate from the Uganda Revenue Authority
  •  Clearance from the Inspectorate of Government
  • Report from the Inspectorate of Government
