Job Details:

The HR and Administration Officer is responsible for managing the day-to-day HR and administrative functions within Octagon Uganda. This pivotal role involves overseeing recruitment, employee relations, performance management, benefits administration, and ensuring efficient office operations.

Key Responsibilities for HR and Administration Officer:

  1. Human Resources Management:
    • Manage the end-to-end recruitment process, including job postings, candidate screening, interviews, and onboarding for Octagon Uganda.
    • Maintain accurate and up-to-date employee records using the HR management system.
    • Administer employee benefits programs and address inquiries related to compensation and benefits.
    • Coordinate performance appraisal processes and contribute to performance improvement plans.
    • Handle employee relations matters, including conflict resolution and disciplinary actions.
    • Ensure compliance with Ugandan labor laws and regulations.
  2. Training and Development:
    • Identify training needs and organize employee training and development programs.
    • Conduct orientation sessions for new hires and ongoing training for existing staff.
    • Maintain comprehensive training records and evaluate program effectiveness.
  3. Administrative Functions:
    • Oversee office operations in Uganda, ensuring an organized and efficient working environment.
    • Manage office supplies, equipment, and inventory control.
    • Coordinate travel arrangements and accommodations for staff as needed.
    • Handle correspondence, reports, and other documentation.
    • Assist in organizing company events and meetings.
  4. Payroll Administration:
    • Process payroll accurately and ensure timely payment of salaries and benefits.
    • Maintain detailed payroll records and address employee inquiries.
    • Adhere to statutory payroll requirements and regulations.
  5. Policy Development and Implementation:
    • Assist in developing and updating HR policies and procedures.
    • Communicate policies effectively to employees and ensure compliance.
    • Monitor changes in labor laws and regulations.
  6. Health and Safety:
    • Oversee workplace health and safety practices, ensuring compliance with safety regulations.
    • Conduct safety training and drills, managing the emergency response plan.

Qualifications for HR and Administration Officer:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Proven experience in HR and administrative roles, preferably in Uganda.
  • Strong understanding of HR practices, labor laws, and Ugandan regulations.
  • Excellent organizational and multitasking skills.
  • Effective communication and interpersonal abilities.
  • Proficiency in HR software and Microsoft Office Suite.
  • Discretion in handling sensitive and confidential information.
