Job Purpose

As a logistics assistant within SNV’s operations team in Uganda, your primary focus will be providing essential logistical support services for the country’s program. Your role ensures the availability and quality of logistics to fully support SNV’s operations. Here are the key aspects of your responsibilities:

  1. Logistics Support Functions:
    • You’ll guide and direct all projects related to logistics support.
    • Strong logistical planning skills are essential, along with the ability to multitask effectively.
    • Your focus will be on efficiency and cost-effectiveness.
  2. Dynamic and Efficient:
    • As a dynamic and efficient team member, you’ll fit seamlessly into our busy office environment.
    • Reliability and organization are crucial traits for success in this role.
  3. Timely Support:
    • Ensure efficient, effective, punctual, and timely support in logistics and fleet functions.
    • Create optimal preconditions for executing specific tasks.
  4. Reporting Structure:
    • You’ll report directly to the Senior Contracting and Procurement Specialist.

Key Responsibilities:

  1. Fleet Management:
    • Provide administrative support to the Operations Team.
    • Collaborate closely with the Senior Contracting and Procurement Specialist to coordinate fleet and facility management.
    • Optimize transportation routes to minimize costs and enhance efficiency.
    • Prepare relevant reports on fuel usage, fleet maintenance, and facility management, providing weekly updates to the Senior Contracting and Procurement Specialist.
    • Anticipate delivery challenges to ensure uninterrupted service.
    • Escalate issues promptly through the appropriate channels to maintain full logistical support.
  2. Facilities Management:
    • Coordinate facilities management, including office lease renewals.
    • Ensure timely facility maintenance and repairs, including generator services.
    • Maintain office properties in good condition for employee safety.
  3. Asset Management:
    • Organize and track organizational assets, developing an asset register.
    • Coordinate asset disposal with project managers or project finance teams.
    • Regularly update the asset register to track newly acquired assets.
  4. Filing and archiving:
    • Control, distribute, and file motor vehicle logbooks and related documents at the country office.
    • Maintain a filing system in line with archiving procedures.
  5. Administrative Duties:
    • Set goals and evaluate transport facilitators’ performance.
    • Assess the logistics vendors’ effectiveness.
    • Provide support for asset inventory management.
    • Monitor, analyze, and report data on logistics support services, updating your line manager accordingly.

Qualifications For Logistics Assistant :

  • Bachelor’s degree in procurement and logistics, administration, or a relevant field.
  • Relevant experience in logistics management and administration.
  • 3 or more years of relevant experience.
  • Private sector experience is advantageous.
  • An understanding of managing a large pool of vehicles is preferred.
  • Self-motivated with a positive attitude, strong teamwork, communication, networking, and organizational skills.
  • Ability to work independently and effectively within tight deadlines.
  • Advanced proficiency in MS Word, Excel, and social media.
